The safety and well-being of the students, staff and volunteers of the Madison Metropolitan School District is paramount. Volunteers of the District who work directly with students and without the immediate supervision of an MMSD staff member are required to disclose convictions and arrests with pending charges and shall be subject to a formal criminal record check conducted by the Wisconsin Department of Justice prior to being allowed to work with students. If there is a conviction, or pending charge(s), the Department of Human Resources shall evaluate the criminal record check in consultation with legal counsel and shall determine if the individual will be accepted as a volunteer.

Definition/Procedure

  1. Volunteers of the District who work directly with students and without the immediate supervision of an MMSD staff member are defined as volunteers who will work at anytime with students out of the line of vision of an MMSD staff member. Volunteer assignments that may require a record check include but are not limited to:

Prospective volunteers that come to MMSD through a sponsoring organization such as the Retired Senior Volunteer Program that has already completed a criminal record check, will not be checked again by the District, unless the volunteer has a record. Individual schools shall verify that a sponsoring organization has completed a criminal record check. If the volunteer has a record, the District will complete an independent record check and evaluation.

  3. Individual schools shall contact Human Resources whenever they are uncertain if a volunteer assignment requires a criminal record check.

  4. Individual schools shall have the prospective volunteer complete the Volunteer Disclosure Statement. The school shall forward the required information (name, address, social security number, birth date, gender and race) either by mailing or faxing the completed Volunteer Disclosure Statement to, or by calling the Department of Human Resources.

  5. Human Resources shall request the criminal record check from the Wisconsin Department of Justice and, if there is a conviction(s) or pending charge(s), shall evaluate the criminal record information in consultation with legal counsel and shall notify the school of the determination.
