Phone tip: setting up an Extended Absence Greeting

The Extended Absence Greeting can be used when you are absent from your office for either part of the day, all day, many days or weeks.  The extended absence greeting does not override or erase your original greeting.  Once you delete your extended absence greeting, you do not need to re-record your standard, every day greeting. 

This feature is great to use during Summer, Winter and Spring Breaks.  You can also program your phone with this type of greeting from a remote site using last month's tip, Accessing voicemail from a remote location (home, cell phone, etc.)

Initializing Extended Absence Greeting:
  1. Press Envelope KeyPress Listen Key – 2 times
  2. Enter Password
  3. If you have messages, you must listen to them first and either save or delete
  4. At "Main Menu" prompt – Press 4 (Personal Options)
  5. Press 3  (Greetings)
  6. Press 2 (Extended Absence)
  7. Record Extended Absence Greeting
  8. Press # Key
  9. Press # Key again if you are satisfied with your greeting
    OR
    Press the * (star) key and re-record.  DON'T forget to press the # key when done recording, and then a second time to confirm the recorded message.
  10. Press * (star) key two times to exit.
    NOTE: you must follow all prompts to exit or your extended absence greeting will not be on your phone.

Canceling Extended Absence Greeting:

  1. Press Envelope Key
  2. Press Listen Key – 2 times
  3. Enter Password
    • Press 1 to retain Extended Absence Greeting
      OR
    • Press 2 to delete Extended Absence Greeting
    • Press End Key
